Who we are

Draft Mica is a women's fashion blog and personal styling studio based at 2-21-13 Yamada, Karatsu, Saga 847-0834, Japan. This policy covers this website, draftmica.com, and the correspondence that starts from it: messages sent through the contact form, emails to info@draftmica.com, and the details you share while we arrange or carry out a styling session.

We write with Japan's Act on the Protection of Personal Information (APPI) in mind, because most of the people who write to us live in Japan. The studio is run by a small independent operator. The operator's full name is given in writing on request, by email or by post to the address above, rather than printed on a public page.

What we collect

There are three kinds of information. First, whatever you type into the contact form: your name, your email address, an optional phone number, your message and the tick that confirms you have read this policy. Second, whatever you choose to tell us so that we can prepare a session: the occasion and its date, the dress code or venue, sizes and measurements you decide to share, and photographs of garments or outfits if you send them.

Third, the web server that delivers these pages may keep ordinary access logs, such as IP address, time of request, page requested and browser type, for security and fault-finding. We do not run analytics, advertising pixels, social media widgets or embedded maps on this site, and we do not build profiles of visitors.

We never ask for payment card numbers and ask you not to send them by email. We also do not ask for sensitive details such as health, religion or family circumstances. If you mention one of them yourself, for example because it affects what you can comfortably wear, we use it only for the purpose you mentioned it.

Why we use it

We use your details to answer your enquiry, to agree a date and a quote for a session, to prepare for it, and to write the summary that follows a wardrobe audit or a seasonal refresh. We keep short notes about what we advised so that a returning client does not have to start from nothing.

We do not send newsletters. The journal is available through an RSS feed instead of a mailing list, so there is no list that your email address could end up on. We do not sell your information, and we do not use it for anything unrelated to your enquiry. If we ever wanted to, we would ask you first.

Local storage and cookies

This site sets no cookies for tracking. When you close the notice at the bottom of the page, your browser keeps one short value in its local storage so that the notice does not return on your next visit. The value holds no identifier and is not sent to us.

The fonts on these pages are served from the site's own files, so no outside font provider sees your visit. You can clear local storage in your browser settings at any time; the notice will simply appear once more.

Who else sees your data

We do not sell, rent or trade personal information. Messages pass through the email service the studio uses for its mailbox. That provider handles them on our behalf and may store them on servers outside Japan, which the APPI asks us to tell you.

If you ask us to contact a third party for you, for example a tailor, we share only what you have approved. We may also disclose information where the law requires it, such as a court order or a request from an authority that has the legal power to make one.

How long we keep it

Enquiry emails are kept for up to twelve months after the last message and then deleted. Session notes and written summaries are kept for up to twenty-four months so that a follow-up session can build on the first; you can ask us to delete them sooner. Photographs you send are deleted within thirty days of the session unless you ask us to keep them for a later one.

Server access logs are kept for whatever period the hosting provider applies, which is normally short. Records that the law obliges us to keep are kept for as long as the law requires and no longer.

Your rights under the APPI

You can ask us to disclose the personal data we hold about you, to correct or add to it, to delete it, to stop using it, and to stop passing it to third parties, to the extent the APPI gives you those rights. Write to info@draftmica.com, or post a letter to the address in section 11, and put “Privacy request” in the subject line.

To protect you, we may ask you to reply from the email address you originally used, or to confirm a detail that only you would know, before we act. We answer without undue delay and within the time the law allows. We do not currently charge for ordinary requests. If you are unhappy with our answer you can also contact Japan's Personal Information Protection Commission.

Keeping it safe

Enquiry emails and session notes are reachable only by the person who handles your request. Notes are kept in the studio's mailbox or on a password-protected device, not on loose paper. No system is perfectly secure; if we learn of an incident that is likely to harm you, we will tell you and report it to the Personal Information Protection Commission as the law requires.

Children

The site and the styling sessions are meant for adults. If a person under sixteen writes to us, we ask a parent or guardian to take over the conversation before we collect anything further.

Changes to this policy

If the way we handle information changes, for example because we add a booking service or a mailbox provider, we update this page and change the date at the top. The date you see there is the date of the current version.
